Book the supplier's delivery note with one photo
In Priroda, the flower-shop management software from priroda.tech, a supplier's delivery note (the albarán) is booked with one photo: the AI reads every line, matches it to your catalogue, offers to create what you did not have and, once you confirm, adds the quantities to stock with their cost price. Twenty minutes of typing after closing become one photo and one check.
Title card: «Delivery Day» ROQUE (unloading boxes): My husband says… rain on Thursday! ROQUE: Invoice! ROQUE: Till next time, love! VERA (coming in with a box): Right… flowers in the cooler. Write down what came in, or I lose track of stock. And Diego's due in an hour with roses. [Vera photographs the invoice. Screen: «Invoice received · Stock movement», nine lines: magenta tulip, magenta rose, violet tulip, violet rose, cyan tulip, white tulip, white carnation, daisy, foliage. The boxes vanish and the shop fills with buckets, in the same order.] VERA: God, good thing I don't type all this in by hand… one photo of the invoice, and done.Transcript
The problem
- The boxes arrive at seven in the morning, on top of the first orders, and the delivery note gets checked halfway.
- The stock in the app never matches the cooler, and since cost prices are not written down, nobody knows what a bouquet really costs.
- The supplier's invoice is paid late, or twice.
How it works, step by step
- 1The supplier leaves you the delivery noteOn paper or as a PDF: the list of what came in, with quantities and prices.
- 2You take a photoWith the phone or the iPad, from Receive. A screenshot of the PDF works too.
- 3Priroda reads the linesProduct, quantity and unit price, matched to the items in your catalogue. It recognises the supplier and the document number.
- 4New things are created with one tapA flower or an item you did not have is proposed as new and created on the spot. A new supplier, the same.
- 5You review and confirmFix a quantity or a match if needed. Until you confirm, nothing is written to stock.
- 6Stock goes up the same secondQuantities per item and per shop, with the cost price stored on the movement.
- 7Everything stays for the reportsThe date, who scanned it, what every stem cost, and the supplier's invoice as an unpaid expense.
What gets recorded
- The supplier, the date and time, and the user who took the photo.
- Every item with its quantity and its cost per stem, and the resulting balance per shop.
- The photo of the delivery note, kept in Priroda.
- The supplier's invoice as an expense with its due date: the outstanding payables list shows what is still unpaid, and it is marked paid when it is.
The purchase and expenses report adds it up by supplier and period, each item's history shows every entry, and bouquet costing and margin reports use real numbers.
Why a generic AI chat is not enough
A generic AI chat gives you text back: a list you then have to copy somewhere, with names that do not match your catalogue and no stock behind it. Priroda is a structured system for flower shops with the AI inside: every line it reads ends up in an item, a balance and a report. The AI does the paperwork and the numbers; you work with the flowers.
Frequently asked questions
What if the delivery note is handwritten or in poor light?
The AI proposes what it can read and marks uncertain lines; the florist corrects them before confirming. A second photo can be added.
Does it recognise my supplier's product names?
It matches names to the shop's catalogue and learns the shop's own naming. New products can be created from the delivery note in the same step.
Does it work with a PDF the supplier sends me?
Yes. Take a screenshot of the PDF, or a photo of the screen, and upload it as if it were the paper: the lines are read the same way.
Can I plan purchases before the peak?
Yes. Create a purchase request from the stock requirements of open orders, send it to the supplier, and receive against it when the boxes arrive.
